Week 1 Onboarding begins

Phase 1

Onboarding.

A clean starting point, and systems that fit the way you already work.

  • Documents and clarity. We gather the records that establish the starting point: entities, properties, loans, accounts.
  • QuickBooks Online, or similar software, set up or put right. One file per entity, a class per property, bank feeds connected, the supporting software wired in.
  • Access and workflow. View-only access to your accounts, and a workflow for how documents and questions move between us. We never hold a login that can move money.
  • The Onboarding Zoom. A Zoom to walk through how the month runs, answer your questions, and make sure you know where everything lives.
  • Resources and training. So you and anyone who helps you know the routine.
  • The preparer handshake. We introduce ourselves to your tax preparer, so the year-end handoff is arranged before year-end.

Phase 2

Catch-up.

Behind on the books, or not sure they are right? We bring every month up to today, then prove it.

  • Historical clean-up. Prior periods reviewed and brought current, so the books are complete, not just recent.
  • Transaction accuracy. Every transaction categorized; the real estate events, purchases, refinances, sales and intercompany transfers, posted the way a preparer expects to find them.
  • Documentation. Contractor W-9s collected where they apply, so 1099 season is a list, not a hunt.
  • A second check. Every period is reconciled and reviewed a second time before it reaches you.
  • The Catch-Up Review Zoom. A Zoom to walk the updated books with you, answer questions, and confirm you can trust the numbers.
  • Final reports. Accounts reconciled, the balance sheet, profit and loss, statement of cash flows and others finalized, the file ready to hand to your preparer.

Phase 3

Ongoing bookkeeping.

The monthly rhythm, every month, so tax season is a handoff and not a project.

  • Every week. The weekly tidy: transactions categorized, journal entries recorded, our questions to you asked and answered, W-9s collected as new contractors appear.
  • Interactive Financials. Your current financial statements and metrics (KPIs) for your business, any day. Every tidy updates them.
  • Every month. Accounts reconciled, an internal quality check, and reconciled financials published on the 15th or before: your balance sheet, profit and loss, statement of cash flows, and others.
  • Every question, within 24 hours. Ask in the client portal and you get a response within 24 hours, Monday through Friday. An acknowledgement that says who is looking counts; a guess never does.
  • Mid-year Review Zoom. A review of where the year stands, with adjustments while there is still time to make them.
  • Year-end Review Zoom. A January Zoom with you, then the year-end package to your tax preparer by mid-February.
  • 1099s. Prepared and filed where they apply.

  • Weekly tidy. Once a week, on a day we set with you: transactions categorized, journal entries posted, our questions to you asked and answered.
  • Published on the 15th or before. Reconciled financials: your balance sheet, profit and loss, statement of cash flows, and others.

What we do not do.

  • Prepare or file tax returns. We prepare the books your preparer files from, and work with the preparer you have, or introduce you to one of the CPAs we work alongside.
  • Move money. We never pay bills from your accounts, never hold a card, never sign. View-only, always.
  • Guess. When a transaction is unclear we ask you, in the portal, and you get a response within 24 hours when you answer.

Pricing, plainly.

  • A flat monthly fee, from $200 a month. Quoted per client after the Discovery Call.
  • Onboarding and catch-up charged separately. Quoted on the Discovery Call, with the monthly fee.
  • QuickBooks Online billed through us at our ProAdvisor rate. Everything else we run your books on is included in the fee.
  • 1099 filing charged per form. Prepared and filed where they apply.
